THOMAS GARDEA MEDIA / PRIVACY

Your privacy.
In plain view.

This page explains what information Thomas Gardea Media receives when you visit our website, ask about a shoot, place a sports order, or use your client portal.

Information we collect

We collect information you give us when you contact us, request a quote, book a session, place a sports picture-day order, or communicate by phone, text, or email. This may include your name, email address, phone number, event or session date and location, service choices, and the details you write in a message.

Sports orders may include an athlete’s name, jersey number, team, package choices, and a parent or guardian’s contact information. We ask parents and guardians to submit orders for children.

If you have a client portal account, we keep your login information and the details needed to plan and deliver your project. The portal may collect your contact preferences, event schedule and location, shooting preferences, must-have moments, notes about people or accessibility needs, a day-of contact’s name and contact details, and reference images or links you choose to provide. We also keep project updates, delivery links, and your checklist progress there. Please share another person’s contact details only if they know you are giving them to us. Reference images uploaded to the portal are stored at unlisted web addresses; anyone with a direct image link may be able to open it.

Our website and hosting provider also receive technical information needed to deliver and protect the site, such as your IP address, browser and device details, pages requested, and the time of a visit. The sports order form temporarily uses an IP address to limit abusive submissions and stores the order’s IP address with the order.

How we use it

We use this information to answer inquiries, prepare quotes, schedule and photograph sessions, process orders, run the client portal, deliver photos and videos, send service updates and receipts, provide support, keep records, and protect the site from misuse. We may use website performance and usage information to understand and improve the site.

Who receives it

We share information with providers who help us operate the website and serve you, including our WordPress host, email and messaging services, Google services used on the site, and Pixieset, which we use to deliver client galleries. Booking and order details may be sent to our team by email and Telegram so we can respond and fulfill your request. If you choose an external payment option, such as Cash App, Zelle, or Venmo, your payment is handled under that provider’s own privacy terms.

We may also disclose information when required by law or to protect our rights and the safety of others. A client portal account limits access to project information, but links you share or open on outside services follow those services’ privacy practices.

Cookies & tracking

WordPress uses cookies for account sign-in and site operation. This site also stores your English or Spanish language choice and your privacy choices in your browser. With your permission, we use Google Analytics to measure visits and page views and Meta Pixel and Meta Conversions API server events to measure advertising. You can allow or reject these separately. Optional tracking is off until you make a choice.

Use the “Privacy choices” button at the bottom of any page to change or withdraw your choice. If you withdraw permission, we stop loading the affected tracking tools on future page views and try to remove their first-party cookies. Your browser may retain other data that only you can clear. Our quote tool uses Google Maps Places when you enter a location, which sends your search to Google. We also load page fonts from Google. Essential account cookies continue to support sign-in and site operation.

See the Google Privacy Policy and Meta Privacy Policy. You can also use the Google Analytics opt-out browser add-on.

How long we keep it

We currently keep client records and client photos indefinitely; we have not set a routine deletion date for them. We keep other inquiries and site records for as long as needed to provide our services, maintain business records, resolve disputes, and meet legal obligations. You can ask about a specific record or request deletion using the contact information below. We review requests individually and may need to keep some information for legal or legitimate business reasons.

Your choices

You may ask to see, correct, or delete personal information we hold about you. You can also ask us to stop nonessential communications. Contact us with your request, and we may need to verify your identity before acting. Privacy rights may vary depending on where you live. You can change your language choice using the EN / ES control on this site and manage cookies through your browser.

Children

Our website and client portal are intended for adults. Parents or guardians should place sports orders and share information about children. If you believe a child under 13 has given us personal information directly through the site, contact us so we can review and remove it as appropriate.
